NOTE: This is a full-time in-office position. Remote and contract opportunities are not available for this position.

We’re looking for an experienced Operations Coordinator to assist running the day-to-day operations of the agency. This person should be both analytical and resourceful to help the agency and its leadership staff.

As an Operations Coordinator, you’ll work with visiting clients and most of the agency staff.on a daily basis.

You’re the ideal candidate if you:

  • have good written and verbal communication skills;

  • have been actively working for the past few years in an agency or other contemporary office setting in a support capacity.

During a typical day, you’ll:

  • Accept incoming calls for multiple agency brands, transfer calls as request or take messages;
  • brew coffee;
  • enter new business leads into the CRM system;
  • check office supplies inventory level, and order supplies as needed;
  • accept incoming mail, distribute mail to addressees;
  • submit bills/statements to leadership for approval and enter into QuickBooks;
  • post daily receipts and deposit into bank;
  • prepare and maintain conference rooms;
  • empty trash / recycling as needed; and
  • clean dishes and kitchen area.

In this position, you should expect to work with different people each day. Although your position allows you to be autonomous, your direction and feedback will come from the operations manager. You should be able to take constructive criticism and collaborate with leadership staff to solve problems.

From time to time, you may also:

  • assist with invoicing;
  • submit recurring payment transactions;
  • assist with processing and distributing payroll;
  • maintain restrooms;
  • run errands;
  • maintain spreadsheets; and
  • update and maintain contact databases.
