The Administrative Assistant works under the direction of the Client Service Manager and specializes in various aspects of Client Services while performing Administrative Assistant duties. The position is responsible for providing excellent service, support follow-through and client service/administrative tasks with the purpose of delivering an exceptional client experience. The Administrative Assistant specializes in client experience to ensure that the Choose Life Marketing Client Service Team is efficient and organized allowing the manager to focus on building client relationships.

The Administrative Assistant is instrumental in the execution of client programs and will support the Account Manager in day-to-day project tasks, and work to ensure that programs and projects are running smoothly. Creates efficiencies to reduce processing times and successful completion of team projects. Choose Life Marketing is a division of Caledon Virtual.

Responsibilities and Duties:

  • Support the Client Service Manager across multiple clients and in organizing various projects.
  • Undertaking daily administrative tasks to ensure the functionality and coordination of the department’s activities.

Support will include (but not be limited to) administrative tasks, data processing, assigning tasks, assisting in client services, providing troubleshooting support, project management assistance, research, etc.

  • Work across multiple departments and disciplines to deliver quality work for our clients. Other job-related duties as specified by the manager.

In this position, you should expect to work with different people each day, whether that is a current or potential client or members of our internal team. You’ll work hand-in-hand with our client service to create astounding results for our clients.

Qualifications and Skills:

  • 3+ years of relevant experience.(Executive Assistant, Administrative Assistant, Office Coordinator, Office Manager, or similar role)
  • Self-starter, with an ability to learn quickly, independently, and work in a fast-paced environment.
  • Good understanding of office management
  • Well-organized with a customer-oriented approach
  • Ability to complete work in a timely manner
  • Assist in answering office phones – respond promptly to requests for assistance and inquiries
  • Effective time management; maximizes productivity.
  • Set up client files and obtain necessary information.
  • Communicate necessary follow-up with clients.
  • Ability to prioritize, multitask, and work under strict deadlines.
  • Ability to work both independently and within a team environment.
  • Gives attention to detail and follows instructions.
  • Ability to take constructive criticism.
  • Willingness to work in a team-oriented environment.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Keen attention to detail, accuracy, and personal accountability.
  • Ability to communicate clearly and professionally; both in writing and verbally.
  • Possess a strong work ethic and willingness to help with any tasks.
